The Whole Story ("we," "us," "our") is a planning and design studio based on Salt Spring Island, British Columbia, Canada. We respect your privacy and take care with the information you share with us. This policy explains what we collect, why, and what we do with it.

What we collect

When you submit an inquiry through our site, we collect:

  • Your name and the names of anyone you're planning with

  • Email address and, if you provide it, phone number

  • Event date, location, and approximate guest count

  • The information you share about your event, your vision, and your needs

  • How you heard about us, if you choose to share

When you visit the site, our hosting platform and analytics tools may automatically collect:

  • Your IP address, browser type, and device information

  • Pages you visit and how long you spend on them

  • The site or search that referred you to us

We do not collect payment information through this website. Payment details for booked clients are handled separately through our invoicing system.

Why we collect it

We use the information you share to:

  • Respond to your inquiry and assess fit for your event

  • Prepare proposals, scopes, and planning documents

  • Communicate with you throughout our working relationship

  • Improve our website and understand how visitors find us

  • Send occasional updates, only if you have opted in

We do not sell your information. Ever.

Who we share it with

We share information only as needed to do the work:

  • Service providers we use to run the business - our website platform, email provider, scheduling tools, and CRM. These providers are bound by their own privacy obligations.

  • Vendors and venues for your event - only the information necessary for them to do their part of your celebration, and only once you are a booked client.

  • Legal authorities - only if required by law.

We do not share inquiry details with anyone outside our team unless and until you become a client and have agreed to vendor coordination.

Where your information lives

Your information is stored on servers operated by our service providers, some of which may be located outside of Canada (including in the United States). By submitting your information, you consent to this storage and processing.

How long we keep it

We keep inquiry information for up to two years from your last contact with us, unless you ask us to delete it sooner. Information for booked clients is kept for seven years after your event, in line with standard Canadian business and tax record requirements.

Your rights

You have the right to:

  • Ask what information we hold about you

  • Correct anything that is inaccurate

  • Ask us to delete your information (subject to legal record-keeping requirements)

  • Withdraw consent for marketing communications at any time

Cookies and analytics

Our site uses cookies and similar technologies to help the site function and to understand how visitors use it. You can disable cookies in your browser settings, though some parts of the site may not work as expected if you do. We use Squarespace Analytics and Google Analytics to understand site traffic in aggregate.

Children

Our services are for adults planning events. We do not knowingly collect information from anyone under the age of 18 through this site.

Changes to this policy

We may update this policy from time to time. The "last updated" date at the top reflects the most recent change. Material changes will be noted on the site.

Photography on this site is published with the permission of the couples, families, and photographers involved. Photographers retain their own copyright; permission to reproduce their work must come from them.

Our methodology and planning materials

Beyond the content of this website, The Whole Story has developed proprietary planning methods, frameworks, document templates, and creative processes over years of practice. This includes our planning method and phases, our internal systems and tools, and the structure of any proposals, scopes, sample documents, or planning materials we share with you.

These materials remain our intellectual property whether or not you become a client. By receiving any document or proposal from us - whether through this site, by email, in a meeting, or in any other form — you agree that you will not:

  • Reproduce, share, or distribute these materials to anyone outside the immediate decision-makers for your event

  • Use our proposals, scopes, or planning frameworks to inform a working relationship with another planner

  • Adopt our methodology, structure, or document templates for your own business or for resale

Materials shared with booked clients are governed further by your signed services agreement, which sets the full terms of confidentiality and use.

Inquiries are not bookings

Submitting an inquiry through this site does not constitute a booking, a contract, or a commitment of any kind on either side. Bookings are confirmed only when a signed services agreement and deposit are in place.

Information accuracy

We do our best to keep the information on this site accurate and current - pricing, services, packages, availability, and otherwise. We do not guarantee accuracy, and reserve the right to update or change information at any time without notice. Final terms for any engagement are set out in your services agreement, not on this website.

Our site may include links to vendor partners, venues, or other third-party websites. We are not responsible for the content, accuracy, or practices of sites we do not operate.

Limitation of liability
